Finance & Operations Coordinator
We are seeking a Finance & Operations Coordinator to support the day-to-day accounting, finance, and office operations of a mission-driven organization. This is a part-time (15–20 hours per week), onsite position with flexibility in scheduling. The ideal candidate is organized, detail-oriented, and enjoys balancing accounting responsibilities with administrative and operational support.
Key Responsibilities
Accounting & Finance
- Process vendor invoices, employee expense reimbursements, and corporate credit card transactions in QuickBooks Online.
- Prepare payments and maintain accurate financial records and supporting documentation.
- Support accounts payable and employee payment requests.
- Assist the CFO with month-end activities and year-round audit preparation.
- Prepare audit schedules, gather supporting documentation, and coordinate requests from external auditors.
- Maintain accurate financial records and assist with general accounting projects as needed.
Office Operations
- Maintain office files, records, and general organization.
- Coordinate incoming and outgoing mail, including USPS, FedEx, and UPS.
- Serve as the primary contact for office equipment, building services, security, parking, and maintenance.
- Monitor and order office supplies.
- Maintain employee leave records and distribute monthly leave reports.
- Assist with new employee onboarding and other administrative activities.
- Answer incoming calls, greet visitors, and provide general office support.
- Assist with special projects and operational initiatives as assigned.
Qualifications
Required
- Strong attention to detail with excellent organizational and time management skills.
- Ability to prioritize multiple tasks and meet deadlines.
- Proficiency in Microsoft Office, particularly Excel.
- Excellent communication and customer service skills.
- Ability to work independently while collaborating effectively with others.
- Professional, proactive, and able to handle confidential information with discretion.
Preferred
- Two or more years of accounting, bookkeeping, finance, or office administration experience.
- Experience with QuickBooks Online.
- Experience supporting a nonprofit or mission-driven organization is a plus.
