Finance & Operations Coordinator

We are seeking a Finance & Operations Coordinator to support the day-to-day accounting, finance, and office operations of a mission-driven organization. This is a part-time (15–20 hours per week), onsite position with flexibility in scheduling. The ideal candidate is organized, detail-oriented, and enjoys balancing accounting responsibilities with administrative and operational support.

Key Responsibilities

Accounting & Finance

  • Process vendor invoices, employee expense reimbursements, and corporate credit card transactions in QuickBooks Online.
  • Prepare payments and maintain accurate financial records and supporting documentation.
  • Support accounts payable and employee payment requests.
  • Assist the CFO with month-end activities and year-round audit preparation.
  • Prepare audit schedules, gather supporting documentation, and coordinate requests from external auditors.
  • Maintain accurate financial records and assist with general accounting projects as needed.

Office Operations

  • Maintain office files, records, and general organization.
  • Coordinate incoming and outgoing mail, including USPS, FedEx, and UPS.
  • Serve as the primary contact for office equipment, building services, security, parking, and maintenance.
  • Monitor and order office supplies.
  • Maintain employee leave records and distribute monthly leave reports.
  • Assist with new employee onboarding and other administrative activities.
  • Answer incoming calls, greet visitors, and provide general office support.
  • Assist with special projects and operational initiatives as assigned.

Qualifications

Required

  • Strong attention to detail with excellent organizational and time management skills.
  • Ability to prioritize multiple tasks and meet deadlines.
  • Proficiency in Microsoft Office, particularly Excel.
  • Excellent communication and customer service skills.
  • Ability to work independently while collaborating effectively with others.
  • Professional, proactive, and able to handle confidential information with discretion.

Preferred

  • Two or more years of accounting, bookkeeping, finance, or office administration experience.
  • Experience with QuickBooks Online.
  • Experience supporting a nonprofit or mission-driven organization is a plus.

Schedule

  • 15–20 hours per week
  • Onsite position
  • Flexible work schedule – days can be arranged to fit both the organization's and the employee's needs.
