Executive Administrative Assistant

We’re growing, and we’re looking for a sharp, dependable Administrative Assistant to support our CEO and Head of Operations.

The Opportunity

This is a unique opportunity to work closely with senior leadership and gain a front-row seat to how a growing company operates. As Administrative Assistant to the CEO & Head of Operations, you’ll be the organizational backbone that keeps our leadership team running smoothly – managing schedules, coordinating communications, and handling the day-to-day details so our leaders can focus on growing the business.

This is an in-person role based in Pittsburgh, PA. If you’re detail-oriented, discreet, and energized by variety and fast-moving priorities, this role is built for you.

What You’ll Do

You’ll work directly with the CEO and Head of Operations, providing high-level administrative support across a range of responsibilities.

  • Manage calendars, scheduling, and meeting coordination for the CEO and Head of Operations.
  • Prepare correspondence, presentations, reports, and internal communications.
  • Organize and maintain files, records, and documentation
  • Coordinate travel arrangements as needed
  • Serve as a liaison between leadership, store teams, and outside partners
  • Track and follow up on action items to ensure deadlines are met
  • Assist with special projects, research, and administrative tasks as they arise
  • Handle sensitive information with a high degree of professionalism and discretion

About You

We’re seeking a motivated, highly organized individual who thrives in a dynamic, fast-paced environment. The right person brings:

  • Prior experience in an administrative, executive assistant, or office support role
  • Excellent written and verbal communication skills
  • Strong organizational habits and attention to detail
  • Ability to manage multiple priorities and adapt quickly
  • Proficiency with Microsoft Office / Google Workspace
  • A professional, can-do attitude and a genuine team-player mindset
  • Must be based in or near Pittsburgh, PA
