WHAT YOU'LL BE DOING DAY TO DAY
Duties
As a Program Operations Assistant, you will:
- Provide administrative and program support by coordinating office operations, managing calendars, maintaining records, and supporting managers or professional staff in accomplishing organizational priorities.
- Maintain electronic tracking systems and administrative records for activities such as travel, procurement, training, property, or other program support functions, and prepare reports using office automation software.
- Prepare and process administrative documents and correspondence, including proofreading, formatting, maintaining filing systems, responding to inquiries, and ensuring compliance with established policies and procedures.
- Coordinate meetings, conferences, or travel arrangements by scheduling events, arranging logistics, preparing travel documents, and interacting with internal and external stakeholders to facilitate administrative operations.
- Process administrative purchases by preparing and tracking purchase requests, maintaining procurement records, monitoring the status of orders, and ensuring transactions comply with established policies and procedures.
Qualifications
WHAT WE ARE LOOKING FOR
Minimum Qualifications: You must have one year specialized experience to perform successfully the duties of the position. To be creditable, specialized experience must have been equivalent to at least the GS-6 grade level in the Federal service performing ALL of the following:
- Maintaining electronic tracking systems and preparing reports for travel, procurement, training, or other program support functions.
- Preparing correspondence and managing records while ensuring accuracy and compliance with established policies and procedures.
- Coordinating meetings and travel by arranging logistics, processing travel documents, and serving as a point of contact for internal and external stakeholders.
